The popularity of outsourcing certain parts of the operation has not only become an accepted norm but a necessity for survival in today’s businesses. Vertical Integration and Control of business processes is no longer the key to financial success. But is it really the management dream to give a 3rd party vendor a part of your operations? For many these has proven to be a serious miscalculation. Losing valued time and capital resulting in loss of profits and jobs.

Is the Idea absurd? Overrated? Or the idea is sound and the execution is not perfect. Either way lots of people have done it using the original wheel. Reinventing the wheel may be the answer to those who have failed with the original one.

Here’s the original idea for contact centers. Given someone with the correct core competency, the phone system, time tested quality control, and dedicated escalation procedure. Then it should be foolproof. Lot’s of ways have been done to improve the process. Specialized CRM, VCC, offshore, and now CCOD.

Contact Center On Demand is cross idea between implementing a VCC using company personnel. Saving tons of cash on infrastructure meanwhile keeping the personnel under their control. Moving the operation offshore with a company representative has worked. Control of personnel, cheaper competent labor and less infrastructure has paid off for most people who tried to out.

They say that “Once bitten, twice shy.” It’s not a bad concept. But offshore CCOD is a whole different ballgame. Implementing several myself for outbound and inbound operations each with it’s own complication yet the hassles are definitely a lot less then setting up a brick and mortar contact center or hiring an established one not knowing if they really perform as advertised.

Having your people work on it will perform as you expected them to, if the loss of discipline due to telecommuting is an issue, it’s your own HR that committed the error and can be corrected. If the phone system doesn’t work as reliable as it should then change vendors. If the person in charge of it doesn’t work as well as expected, everyone is expendable.

CCOD may not be perfect, but having vendors who provide contact center technology and uses the same technology themselves, having a your own trusted manager to run it and having your own HR take care of personnel should be as close to perfection as it could ever get, for now.

Outsourcing in control. By definition CCOD is not outsourcing anymore. It’s an offshore operation. If the model works with manufacturing, the model will work with the right implementation.

Start-ups, small growing firms and even home-based businesses are underserved by the telecommunications industry. But there are telephone systems that fit if you know where to look.

Telephone systems have grown in sophistication by leaps and bounds in recent years, but for the most part, very small businesses have been on the outside looking in. And with the recent evolution in Voice over IP telephony (VoIP), the gap between what small business needs and what the market is offering is only getting wider.

While galloping technological advancements have ushered in amazing new features and inversely lower prices for most office equipment, full-featured phone systems have remained largely out of reach for small companies. You can afford a photo-realistic slimline desktop color printer now for a fraction of what it cost just a few years ago, and you can beam your appointment book back and forth from your wristwatch to your laptop for under a hundred bucks, but the prices of telephone systems have not decreased at the same rate. Most small companies are forced to cobble together telephone solutions with a combination of multi-line telephones, answering machines and costly monthly telephone company services.

True phone systems are far more powerful, offering flexible automated call answering features, call messaging and call routing that can improve a company’s professional image, control communication costs and increase connectivity and responsiveness.

It is widely acknowledged that small business is the engine of job creation and economic health today. With a sophisticated, mobile workforce and limited resources for dedicated phone answering staff, small business needs advanced phone systems as much as its larger counterparts do. Yet according to a recent Yankee Group study, 58 per cent of small firms in the United States don’t have a phone system at all. More than 5 million businesses have fewer than 20 employees, so there’s a big market for phone systems, but the leaders in the phone industry have never been able to produce products to fit the bill.

Why? The answer lies in the size; small business is too small for the big traditional telephone systems, and the scaled-down solutions that the industry has produced so far still have price tags that are too big for small business budgets. Big phone systems just don’t work for very small companies, and the fewer the phone users, the more difficult the fit.

Private Branch Exchanges

Large corporations use Private Branch Exchanges, or PBXs, which allow many phone users to share a system with fewer telephone company lines, based on the idea that not everybody uses their local phone extension at the same time.

PBXs inherently offer the best telephone system functionality available. As anyone who has ever worked in a corporation knows, PBXs handle calls impressively with features such as ring groups, call cascades, auto attendants, voicemail and more. But PBXs have traditionally been massive systems for thousands of users. When PBX manufacturers started to turn their attention to small companies, they found it difficult to scale the concept down. The big companies that make PBXs are not focused on very small business, so they don’t fully understand the space.

The result has been a little like a major auto manufacturer stripping a car of two of its wheels and most of its body and then trying to enter the bicycle market; the results are ungainly and overly expensive. Small business phone systems from the major PBX manufacturers tend to be intimidating and difficult to use, difficult to install and usually require technical staff or consultants and expensive, proprietary phones.

Limited Small Business Solutions

So where are small companies without phone systems getting their voicemail? How are they handling incoming calls? How do they integrate teleworkers and mobile workers? They may use Centrex services; telephone company voicemail and separate lines for each phone user, which add a big boost to the monthly phone bills. While telephone companies all over the country are all too happy to offer increasingly complex business services, the additional billing can add up over time to prohibitive levels.

And there’s no real integration with offsite workers other than simple call forwarding. The proliferation of cell phones in the majority of small businesses has, paradoxically, made staying in touch with customers and collaborators even more difficult. Businesses have to give customers and co-workers different phone numbers for the office and mobile phones, each with separate voicemail systems, both of which are costing the company extra money every month.

Finding Phone Systems that Fit Small Business

Not all of the news is bad, though. A select few companies have realized that the very small business is underserved, and they’ve been producing small business systems that make sense. There are excellent systems to be had in the market, if you know what to look for. The smart new generation of small business phone systems have all of the features of their larger counterparts without the big business prices.

When shopping for a system, look for the ability to easily install and configure it on your own. Installation can cost a significant percentage of the total cost of traditional phone systems. User-configurable systems allow you to control the way your phone system works without having to pay the manufacturer or a third-party technician to do it for you. The best of the new small business phone systems enable you to do it yourself and save.

Another important feature to look for is cell phone and remote phone integration. If you have teleworkers and mobile workers, you need to be able to collaborate smoothly without giving out dozens of different numbers to your clients. There are small business systems on the market that can connect all of your phones through one central system with one number.

Expandability is crucial too. Make sure that the system you buy today can grow to accommodate the changes in your company tomorrow. And the changes in the industry with the emergence of Voice over IP technology and new advanced Internet telephony services, your phone system needs to be ready to connect to the IP network while maintaining your connections to the traditional telephone network. Look for hybrid systems that are built with SIP standards to ensure compatibility and avoid obsolescence.

The main three types of high speed access include DSL,
cable and satellite Internet. At the current time, DSL service providers and cable are not available in all areas. Some parts of the country do not have access to either option. Good satellite Internet reception is dependant on an unobstructed line of sight to the south. So where you live can make a big difference in which high speed Internet service you choose.

Here are some overviews of each service and comparisons for those
fortunate to have more than one option available:

DSL Service Providers

DSL, which stands for Digital Subscriber Line, describes a
technology that taps into unused frequencies on copper telephone lines to
transmit information at much higher speeds. There is no dialup and accessing services. So access is immediate. With DSL, you can send both voice and high speed data over the same line. The bandwidth, or data transfer capacity, or DSL ranges from 128 Kbps to 1.544 Mbps downstream to your computer. Upstream transfer from your computer is usually limited to 128 Kbps. Bandwidth is dedicated so you don’t have to share with other users, but DSL is also more effective the closer you are to service provider’s facilities. If your local area has plenty of cable bandwidth available it may be a better option for those located greater distances from a DSL provider. Average monthly charges for DSL services are around $55-$65.

Verizon is one of the leading providers of high speed DSL
service, with a large coverage area. With Verizon DSL you get a monthly package for $34.95 that includes unlimited access with a personalized home page, 9 e-mail accounts, and 10 megabytes of web space. For those customers with multiple computers in the home, there is a home
networking option available. You can connect multiple home computers and laptops to a single high-speed DSL Internet connection at no additional monthly cost.

Earthlink DSL is another option. Their basic package, which includes the same features as Verizon’s offer also includes a free dial-up service which allows you to enjoy 20 hours of Internet access per month when you’re away from home. This package typically costs $39.99 per month. Earthlink also offers cable and satellite Internet.

As noted, DSL uses copper telephone wires. Rural areas and some cities do not have these wires available for large volume use, which means that DSL is not yet an option in those areas, even if Verizon, Earthlink or another provider offers services there.

Cable

If you have cable TV available in your area, chances are
that you have access to Internet through your cable provider. This service uses the same wires as your cable TV programming and depending on the provider and the area, there may be a good deal of bandwidth available or a more limited amount. Because users share bandwidth, this could be an issue for those living in areas with limited amounts available for Internet use. It is a good question to ask your cable provider before signing up. Your choice for cable Internet is typically limited to only those providers who offer cable TV in your area. On average, cable Internet does tend to be a bit faster than DSL. Service is often slightly less expensive than DSL, averaging around $45 per month.

Satellite

If you do not have DSL or cable Internet available in your
area, satellite Internet may provide a viable option. Its speed is comparable to other high speed Internet services, its always on, and you have the option of adding satellite TV service. However, it requires that you have a clear view of the southern sky from your home anywhere in the continental United States in order to receive good reception from the satellites. The service is typically a good deal more expensive than the other two high speed options discussed, averaging around $100 per month with installation fees of up to $400.

Some people confuse satellite Internet with what’s known
as WiFi. WiFi Internet services are actually provided by access nodes located in high traffic areas such as airports and hotel or through Internet cafes. If you have a laptop equipped with WiFi receiver, you can access services from within about 1000 feet of the node. There is typically a fee to use this service. It is a good idea for travelers but does not meet the need for home Internet use because it required the access node.

Although there are several satellite Internet providers,
they all use similar technology. DirecTV is a popular provider because they are also a top satellite TV company. DirecTV satellite Internet service is delivered through a wholly owned subsidiary, DIRECWAY. DirecTV satellite Internet costs $99.99 per month and requires customers to purchase a satellite dish and modem. Installation is typically available from the distributor.
